I am using the European Union KoboToolbox server and have been facing issues with managing my project data since last week. I have already sent multiple emails regarding this matter but have not yet seen any changes or resolution.
The first issue started with a new project that I created by cloning an existing project. Initially, it was working fine, but since 11 May 2026, I have been unable to edit the project or make any changes to it. Additionally, the data displayed in the data table looks different from the actual form submissions, and the downloaded Excel sheet also shows discrepancies.
I am experiencing the same issue with another project as well. The data displayed in the data table differs, while the downloaded Excel sheet changes again and does not consistently match the submitted form data.
I am struggling to manage and monitor the project because KoboToolbox is currently my only source for data monitoring.
Kindly look into this issue and help resolve it as soon as possible.

To help the us to investigate, could you please share the following details?
What exactly happens when you try to edit the project?
Do you see an error message?
Does the page fail to load?
When you say the data table looks different:
Are entire submissions missing?
Or are specific fields showing incorrect values?
Have you recently modified the form (e.g., changed field names, added groups, changed choice lists) after data collection started?
On 11th May 2026, I was trying to edit the project, but I was unable to do so. Then, on 12th May 2026, all the labels went missing. Initially, I thought it was a temporary error, so I edited the project again. However, while redeploying, I encountered an error.
After that, I checked the project once more and noticed that all the labels were missing again.
In the data table screenshot below, it shows data for Kurgi Panchayat, but we have not collected any data for Kurgi Panchayat yet. Could you please check why the data is appearing under Kurgi Panchayat?
The data was actually collected for Somari Urain. As per the form, she belongs to Kulli Panchayat, but in the data table it is showing under Kurgi Panchayat.
For your clarification, I am sharing the screenshots of both the data table and the form.
A similar data issue is occurring in another project as well. Panchayats for which no data has been captured are still appearing in the extracted data sheet, although the data table appears correct.
Also, I would like to clarify that I did not make any changes to the form after data collection started. I only attempted to edit some questions, but I was unable to do so.
This may help in identifying whether the issue is related to the extraction process or project configuration.
@asha24, apologies for the delayed response. It seems like this is an issue that was related to a bug which we have already resolved here (so please be informed that this issue will not show up in the upcoming days):
To fix your issue, you could also refer to the link I shared above or even follow this approach outlined below, which I have slightly modified. But maybe the instructions outlined below should be more suitable as you have multiple redeployments in your project.
Identify the appropriate form versions that has the entire questions with all the translations as shown in the screenshot below:
When checking for your project ASHA Baseline Survey_Itki Phase 2 I could see that your project should have all the questions from May 11. But you could still ensure that other versions later than that date should also have all the questions (with full translations).
Once you identify the correct form version, you could clone that version as a new project by clicking to the clone button next to the appropriate version.
Review and check the XLSForm in case that is the correct version which consists all the questions.
Upload the form again to your main project that has this issue. So in your case you will need to upload the XLSForm to the project ASHA Baseline Survey_Itki Phase 2.
Then you will need to redeploy to see the changes that took place in your project.
NOTE: Before taking this action, please create a dummy project and try to stimulate all this there so that you are taking the correct steps to fix the issue. Once you are okay and confident with the process, you could upload and redeploy to the main project that has the issue.
@asha24, did you download your XLSForm for that project by cloning the respective version? Did you ensure that the questions and translations are there?
