Help! Missing records in KoboToolbox after upload

I need help figuring out why uploads correctly made by our data collectors does not reflect in the kobo upload records in some areas. Sometimes the records reflect, other times they don’t despite indicating successful upload process. strong text

Could you ask your data collectors to clear the cache in the app and try sync ing with the server gain.

Hi David, thank you for your response. We do not use the kobo collect app. We instead use a link to the kobo form, in which the collectors upload the records. Usually even without internet, uploads should queue and letter auto submit when internet connectivity is available. I don’t know why we can’t find records sometimes

This explains the missing data in the cases the records are missing can you confirm that the browser cache was not cleared? Once the browser cache is cleared before you submit the records, you will lose them. Please see Offline data submission - #2 by abdoulbi and the response from @Kal_Lam

Are there any other data collection practices I should look out for, especially those likely to cause upload issues, missing records etc? I’d really like to hear some of those.

@Wanyama One of the ways is to train your users and have an SOP on data submissions via the web browser. In addition you can create a report that is available to users showing no of forms submitted per user. The other approach is based on the browser that you are using, You can prevent users from using incognito mode or clearing their browser history. Here are some steps for google chrome: 1. Google Apps Admin Console (for managed Chrome devices):

  • Access the Admin Console: Go to admin.google.com and sign in.
  • Navigate to Chrome Management: Select “Device Management” > “Chrome Management” > “User Settings” > “Security”.
  • Configure Incognito Mode: Under “Incognito Mode,” choose “Disallow Incognito Mode” from the drop-down menu.
  • Configure Browser History: Under “Browser History,” choose “Always save browser history”.
  1. Chrome Extensions (for non-managed devices):
  • Install History Lock: Search for “History Lock” in the Chrome Web Store and install it.
  • Configure the Extension: The extension will prevent users from clearing browsing history and incognito tabs.
    For other browser types there should be ways of doing this but you can explore these on the internet.
