Inconsistent Data Submissions After Project Ownership Transfer Between Accounts

Description

Bug: Issue with transferring project ownership between user accounts imc_lebanon and imc_gbv on the KoBoToolbox EU server.

I attempted to transfer ownership of multiple projects from imc_lebanon to imc_gbv. The expectation was that all submissions, data storage, and usage for transcription and translation within each project would seamlessly transfer to the new project owner (imc_gbv). I am aware that the transfer process may take a few minutes to complete, and while the new owner may see the project in their list right away, the data table view may take longer to sync. However, even after several weeks, the data table view between the two accounts remains inconsistent, with submission counts that do not match. Submissions visible in imc_lebanon are not appearing in imc_gbv and vice versa.

Steps to Reproduce

  1. Initiate the transfer of a project from one account (imc_lebanon) to another (imc_gbv) using the KoBoToolbox platform on the EU server.
  2. Verify that the project appears in the new account’s project list.
  3. Check the data table view in each account for consistent submission counts.

Expected Behavior

After the project ownership transfer, all submissions, data, and usage statistics should reflect correctly in the new project owner’s account (imc_gbv), with consistent submission counts and data visibility across both accounts.

Actual Behavior

  • Inconsistent data views between the original (imc_lebanon) and new owner (imc_gbv) accounts.
  • Mismatch in submission counts: When logging into each account separately, the project submission counts do not match.
  • Some submissions appear in imc_lebanon but are missing in imc_gbv and vice versa.

Additional Details

  • Server: KoBoToolbox EU server
  • Environment: I have checked multiple projects across both accounts and experienced the same issue. Attempts to refresh or sync data did not resolve the discrepancies.

Could you advise on any additional troubleshooting steps, or if there are known issues with ownership transfers? Additionally, if there are any logs or background processes I could check, please let me know. Any guidance on resolving this discrepancy would be greatly appreciated.

As requested, I am sharing a screenshot to illustrate the discrepancy between the two accounts (imc_lebanon and imc_gbv). I am using the form titled “OCHA 4945 GBV Awareness sessions” as an example to demonstrate the issue, although similar inconsistencies are present across other projects as well (listed above).

In the screenshot, you’ll notice the following discrepancies:

  • The imc_lebanon account shows 46 results in the data table view.
  • The imc_gbv account, however, displays only 11 results for the same project.

This discrepancy is not limited to the data table view; it also appears when I try to export the data to an Excel sheet. Each account exports a different number of submissions, with some submissions visible in imc_lebanon but missing in imc_gbv and vice versa.

These inconsistencies have persisted for several weeks now, despite allowing time for the ownership transfer to process. I’ve also tried refreshing and re-syncing the data on both accounts, but the issue remains unresolved.

Any insights into why this might be happening or steps to resolve the issue would be greatly appreciated.
