During the data quality control at the time of data collection, as a supervisor, do I have the possibility to reject or return a poorly re-digested questionnaire to the interviewer in the field? If so, how should I proceed?
Hi @MMM_MINTOGBE,
Sorry to inform you that KoBoToolbox at the moment does not support the feature of rejecting or returning a poorly collected data from the field. The only option you have while validating a submission is that the supervisors are able to mark the submission with Not Approved, Approved or On Hold.
Having this validation status, the person analyzing the data could either drop or include (depending upon what the situation demands) the cases that has been marked as Not Approved or On Hold.
Have a great day!
Thank you. However, if in the future this feature can be integrated, it would help enormously. Thank you and have a nice day
Hi @MMM_MINTOGBE,
In this case would you mind making a new feature request here. Thank you in advance!
Have a great day!
Can you perhaps provide an example (or two) of what would constitute âpoorly digestedâ form results? Note, you do already have the ability to enforce arbitrarily complex constraints on form data; see XLSForm Docs
Hi @Kal_Lam,
Greetings!
Can you please provide the procedure for the below:
" The only option you have while validating a submission is that the supervisors are able to mark the submission with Not Approved , Approved or On Hold .
Having this validation status, the person analyzing the data could either drop or include (depending upon what the situation demands) the cases that has been marked as Not Approved or On Hold "

Hi @keerthi,
You got that correct. You could use those information while cleaning your data or during analysis.
Cleaning: If you see Not Approved or On Hold, the data person will request the team to validate the data.
Analysis: If itâs not possible to clean or validate the data (records), the data person could drop them from using the data during analysis (with the consent of the team leader or a responsible authority).
Have a great day!
Hi Team,
Thanks for the responds,
Could you please provide the procedure of creating a form with the help of mark the submission with Not Approved , Approved or On Hold ..Thanks
Regards,
Keerthi
Hi @keerthi,
Kindly please be informed that this is something you manage from the server (i.e. once you start receiving data to your server). For details, please have a look at the support article Record Validation.
Have a great day!
Hi Team,
Thanks for the quick responds, procedure that you have provided is working fine.
Regards,
Keerthi
Hi @Kal_Lam,
Thanks for quick responds and we want to explain briefy what we have performed so far.
Step 1: Created a form it consist of 2 fileds
Step 2: Deployed the form. after deploying the form we are not able to see DATA tab yet.
Step 3: Then clicked on âopenâ and submitted a form with some information(by selecting radio button)
Step 4: After submitting the form now I am able to see DATA tab. So now we can add the options âOn Hold, Approval,Flagged for Removalâ as per our requirement
Note: So the options(On Hold, Approval,Flagged for Removal) will only manage from the Kobotool server itself. when we are downloading and importing this XML file to an other Platform(Android, iOS, Hybrid) we are able to see the forms but Do we have any other chance to see this options âOn Hold, Approval,Flagged for Removalâ Thanks
Regards
Keerthi
Hi @keerthi,
You got that correct! You are able to validate only when you have a data in the server. Once you validate your data you should see the changes under the variable _validation_status
in your downloaded dataset (from the KoBoToolbox server) as well.
Have a great day!
