Editing a Record After Approval in KoboToolbox

Hello dear community,

On KoboToolbox, I have several users to whom I’ve assigned specific permissions. However, I’ve noticed something odd: a user who has been granted the right to edit submissions without requiring approval is still able to make changes even after a record has been approved. This seems unusual to me.

Is this expected behaviour in KoboToolbox? I was under the impression that once a submission is approved, it should be locked from further edits unless permissions are explicitly granted again.

Has anyone else encountered this? Is there a way to prevent edits after approval?

Many thanks in advance for your insights.

Welcome to the community, @jsivihwa! Just to clarify, did you mean that submissions should be locked once a record is validated? Please feel free to correct me if I misunderstood your question.

Exactly, @Kal_Lam. In my opinion, it would be great to lock the ability to edit (after approval) for anyone who doesn’t have permission to validate the data.

In my case, I manage a project where we collect data in the field. I’m part of the team that is authorised to approve or reject the data. Other users are also involved in the project - they can submit forms, and we’ve allowed them to edit their submissions in case they notice a mistake after sending. However, they don’t have validation rights.

What we’d like is that, once someone with validation rights (like me, for example) sets a status such as "Approved” in the Kobo server, the other users - those with only editing rights - can no longer modify that form, since it has already been validated. The ability to edit should remain only for the person who has validation rights.

Many thanks!
