Form field filled but no data showing

We have a form for VSLA groups in a refugee camp that is made up of geographical zones. A few forms were filled in June have the VSLA name but the data in ‘zone’ (select one) is missing. The forms filled since July have the zone but no VSLA names (also select one). The team are selecting the VSLA name on the form on KoboCollect but it’s not showing up in Kobo, either in downloads or on the table view of data. I can’t understand what’s going on. The VSLA name selection list is definitely showing and available on the form. Any ideas on what the cause could be and how to resolve it?

Thanks Kal_Lam, I added options to list of VSLAs, redeployed and the team collected the new version on KoboCollect. Do you think this is the cause? I have changed questions quite regularly in the past but not had this issue before.

Is there any way we can retrieve what people selected for the VSLA name question?

According to your Form Preview screenshot above, the VLSA NAME question is not mandatory (otherwise it would be asterisked). Are you in fact sure they answered it?

Can you confirm in your form that this question has been set to required=TRUE (default is FALSE) or equivalently ‘Mandatory response’ is enabled in Formbuilder. eg

It is not mandatory, but the team have definitely been filling it in. Previously they were filling zone, but this didn’t show up until July, when VSLA name stopped showing.

Could you also change the table view options to show the raw XML values for these 2 columns, to confirm that the underlying data is indeed missing (as opposed to perhaps just that there is no label anymore for some values, due to a form version change). Thanks.

Thanks, this helps confirm that the actual fields are indeed blank [as opposed to having an old value that no longer has a display label associated with it in newer versions of the form…]. It doesn’t, however, help shed any light on why these values are missing. :face_with_diagonal_mouth:

Are you able to share your form? In particular, is there a possibility that - in perhaps some version(s) of the form - that these missing fields might have a relevant condition on them? If so, it is possible that the user might indeed have filled them in, but them something else subsequent in the form then rendered those questions non-relevant. This would result in the fields being blanked out upon submission.

Note, this can also happen if you ever edit a submission using a version of your form that has (new?) relevance logic in it. If the relevant condition becomes true - eg as a result of your edit - then the affected fields will be blanked when you save your edit (!), because all the form logic gets re-applied.

Being able to see your form would confirm if these might be happening.

@childrenontheedge, when investigating your case I could see that all the data is stored in your project (but in two different variables). See image below:

FYR, please be informed that I downloaded the data with the following checkbox on (Include fields from all 7 versions):

When investigating the case further I observed that you made a total of 7 redeployments to your project with the following changes (highlighted below):

Change in name:

V1: VSLA_NAMA
V2: VSLA_NAMA
V3: VSLA_name
V4: VSLA_name
V5: VSLA_name
V6: VSLA_name
V7: VSLA_NAMA

Thanks very much. I never changed the name of the field/ question on the form when adding VSLA names and redeploying, so I can’t see how that happened…?

You can always clone your project as outlined in this post discussed previously, and then see the name change there:

As of now, this cannot be fixed at the server in your account so you will need to fix it after downloading your data (during your data management phase).

When I download the data, I can’t see the responses. How do I find them?

@childrenontheedge, please check column E and then also check column AH. Your data should be there.
