Power query and export download not updating new column 'status' after editing old records in kobo form

I’m experiencing an issue with data synchronization between KoboToolbox and excel via power Query. I have a Kobo form that is connected to an Excel sheet through Power Query. After the form was deployed and submissions were made, I later added a new field called status to the form.

I can see the status column correctly in the Kobo data table and the Reports tab. Edited records (even older ones) do retain and show the updated status values correctly in the Kobo UI.

Problem is when I update the status field for old records (those submitted before the column was added), the changes appear in the Kobo interface. However, when I refresh power query, the status column does not reflect the updated values for those earlier records, the column is either blank or not updated.

Other fields in those same records do update correctly in Excel via power query, the issue seems specific to the newly added status field on older records.

Refreshing power query multiple times and even download a fresh export, other data changes come through, but status remains blank or outdated for earlier submissions.

Confirmed that new submissions show status data correctly in both Kobo and Excel.

Any guidance or suggestions would be appreciated.

Thanks!

@qasim, could you kindly share with us a screenshot of your issue so that we could understand it pictorially?

@qasim which method are you using to connect your Powerquery to Kobo?

If synchronous exports then data is only refreshed every 5 minutes.

Once knowing exactly what endpoint on Kobo you’re connecting to then hopefully more help can be provided. All the best

It is updated now, and it took well beyond five minutes. Thank you.
