REST Service not triggered for some submissions

Hi All,

We would like your input on an issue we have been recently experiencing and haven’t been able to solve internally yet.

We are using a form to submit registrations into Kobo and then into an internal portal connected to Kobo via REST services.

A few of these said registrations were created in Kobo but not uploaded into our internal portal. They exist under the ‘Data‘ tab of that Kobo form but not under ‘Settings‘ > ‘Rest Services‘, not even as ‘Failed‘ submissions. Which means, these few registrations did not trigger the REST Service at all.

It is just a few registrations (5) out of a few hundreds and this happened on different dates (September 29th; October 2nd, 3rd, 8th and 24th). Registrations submitted on or around the same dates did trigger the REST Service as expected.

We would like to know if there are any possible known causes for this behaviour. If not, is there anything we can do to investigate further?

Indeed, we experienced this issue for only 5 submissions.

I also forgot to add that duplicating the submissions in the ‘Data‘ tab of the Kobo form was a valid workaround. The new registrations created via duplication did trigger the REST Service, creating an entry in our internal portal.

@Kal_Lam Hope you are doing well. I’m a colleague of @Gab510 and unfortunately we get more and more comments on that this is happening. I’ve asked the teams for clarification how often, but good for you to know that it’s not just 5 times. Teams are experiencing hinder with this, as now they’re filling out the form twice if it happens. Hope to hear from you a solution! Thanks a lot.

Dear @Kal_Lam, I am another colleague of @smeberendschot and Gab510 but working on different projects in Kobo. I also encountered the same issue, a submission is included in the data table but does not appear in REST services. The person submitting the registration received the following error:

I checked the data table for potential duplicates using both the id and uuid of the submission, based on the error shown in the image. However, the table only contains this single entry, there are no other records with the same id or uuid. I am not sure what other instance id could refer to.

Hi @Kal_Lam , for the project that I sent to you in private message (asset id), it is now happening for almost more than 50% of the submissions. This is a big problem for our team. Would you have any idea what causes this?

@smeberendschot, @Gab510 apologies for the delayed response. Are you using the IFRC server? If so, I can check this there. I’ll also get back to you once you confirm, in case I need to verify it manually.

@smeberendschot, I made a quick check using the REST services on your server (through my personal KoboToolbox account) and did not encounter any issues. FYR …

@Kal_Lam Yes, it’s not happening always and in all projects, most of the times the REST service is triggered OK. But, in several projects we encounter it sometimes, and in one project we now encounter it for almost 50% of the submissions. I’ve sent the asset id and example uuids in private chat. Thanks for looking into it!
