Synchronize with Excel. Form settings

Dear colleagues,

KoboToolbox has two form-level settings:

- Anyone can view this form

- Anyone can view submissions made to this form

And one account-level setting:

- Require authentication to see forms and submit data

We are currently setting up synchronization between a Kobo form and Excel. We noticed that Excel can pull data from the form under any of these three permission settings.

However, we want to make sure that the submitted data remains protected.

Could you please advise which settings we should use to ensure both:

successful data synchronization with Excel, and

protection of submitted data?

If possible, please share a simple working example.

Hi @dmytro_ii,

The best pratice would be to use an API key to connect your Excel and Kobo form, second best is username and password as Authorization in excel. By this way you don’t need to share username and password information with anyone to set-up the synchronization. Also, people can not access the data without username and password though KoboToolBox interface. So you can keep your data safe,secure and private. API Keys are also needs to be secured, but to work with it require experince so not a standart user can do something with it.

… should be enabled to ensure data confidentiality while still allowing the synchronization of Kobo forms with Excel?
