permissions not working why?
Hi @ronniescientist, can you provide some screenshots for us to understand the issue a little better?
- What you are trying to achieve?
- Which part is not working?
I want the data collectors to view their submissions only not the entire submissions from other data collectors.
@ronniescientist it seems like you are trying to give Editing rights to the users, not just viewing rights. Is it intentional?
If it’s not intentional, can you try to use only View submissions only from specific users setting and not click on Edit submissions only from specific users?
okay i just tried that and it is working now. that is the view from specific users only. after i update permissions it holds.
please can you explain what the editing permissions will allow them do?
why can t i select view permissions from specific user and edit for specific users together?
It is retaining the setting, meaning it remains unchanged when I update the permissions. However, the enumerator cannot see any submitted data unless I enable the “View Submissions” permission.
This is not what I am requesting. I would like the enumerator to be able to see only the data they have personally submitted, not all submissions.View permissions form specific users only.

@ronniescientist, if you have enabled the option to allow specific users to edit submissions, the ability for those users to view submissions will automatically be deactivated. This is because editing permissions are considered a higher level of access, which inherently includes the ability to view submissions. Therefore, if you want to grant users the ability to edit submissions, you can simply select the edit submissions permission. On the other hand, if your intention is to only allow users to view submissions, you can provide them with the view submissions access. I hope this clarifies the situation. The issue remains unresolved.see image for what data collector sees when i grant permissions foe view submissions for specific users only. Despite the fact that data has been submmitted, entries have been made.
Hi @ronniescientist,
Let’s check few things together:
1- Is your form set in a way that it only allows submissions with a username? This is important, because if you let your form allows submissions without a username, the system won’t collect username data, and will not show the submissions.
You can check this setting by clicking FORM tab in your form, it should look like this:

2- Did you set your permission settings like in the screenshot below?

So please what do I do now?

Hi @ronniescientist I think your issue lies in here:
If your form is set to allow submissions without a username, system will not hold any username data. So there will be nothing to show when you set a username to see submissions based on a username. Basically you can’t filter if there’s nothing to filter…
You can check the help center linked below, under troubleshooting:
User-based permissions do not seem to work
User-based permissions apply only when authentication is required and each submission carries a username. Open the project FORM tab and turn off “Allow submissions to this form without a username and password” under Collect data.
thank you for your prompt response and guidance I will try this, hopefully it works. Thank you again
Very helpful.
Thank you
will i need to redeploy the form?
