Request for Advise on Quick Check on Our Kobo Email Automation Setup

I hope you’re doing well. My name is Chhengleap, and I’m currently working as a Project Assistant. I’m reaching out for guidance on setting up an email notification workflow in KoboToolbox (specifically, sending a confirmation email to users after they successfully submit a form).

Here’s the workflow we are planning to implement:

  1. Create a dedicated Gmail account for the project

  2. Add user email addresses into the users_groups.csv file

  3. Use Google Apps Script to automatically send the correct confirmation email to each user based on their form submission

  4. Test the workflow with all users

  5. Finalize documentation and deploy the system

Before we proceed, I’d like to check whether this approach is compatible with KoboToolbox, or if there might be a simpler or more efficient alternative.

Since many of you have strong technical experience with Kobo, your confirmation or suggestions would be extremely valuable. We want to ensure that our method is stable, practical, and easy to maintain for our team.

I believe what you suggested is highly possible, you can send a copy of the form to Google Apps scripts but i am not sure if the google apps scripts is easy to edit. I also would suggest you to check Power Automate, I already have a working setup that is working more than a year without any error, easier for everyone to understand and edit.
